LIB_BRD_EXP_COMM_3_14_07 Berlin-Peck Memorial Library First Floor Expansion Committee Special Committee Meeting Board Meeting Room of Berlin-Peck Memorial Library Wednesday, March 14, 2007 – 6:30 P.M. Present: Frank Steele Co-Chairman, Sharon Powell Co-Chairman, Rosa Brown, Elizabeth Bennett and Donna Moore. Staff Liaisons: Sara Munson, Library Director & Cathy Nelson, Assistant Library Director. Survey – Dir. Munson distributed copies of the new condensed version of the Survey Questionnaire. Committee Members reviewed and agreed that the two-page legal size questionnaire was just about the right size. Dir. Munson stated that she could compact it more by reducing the font size. Committee Members felt that the two-page size worked quite well and anything smaller might be difficult to read. As written, the questionnaire should take less than five minutes to complete. Sharon Powell suggested adding the line, “Five minutes of your time will help us help you” to the heading of the questionnaire. After further discussion, Rosa Brown made a motion to approve the condensed version of the questionnaire, with the addition of My Library DV to Item #5. The motion was seconded by Donna Moore and unanimously approved. Distribution – Dir. Munson agreed to contact the Berlin Citizen about including the survey in their paper distribution for Berlin. She felt that there may be a cost and that she would approach the Friends of the Library for funding. It was suggested that the questionnaire be included, as is, as a flier and perhaps an article be written to coincide with the flier that would describe the background behind formation of the flier. Dir. Munson will check with Melanie Jortner, who had offered to put the questionnaire on line, whether she would be available to work on the on line distribution. Dir. Munson also will look into putting the survey on Survey Monkey, an on line service. Time Frame for Survey – Committee Members agreed that the questionnaire should be st made available starting in mid May with an ending date for returns of July 1. That would allow an approximate window of six weeks and copies would still be accepted st after July 1. Comments – Dir. Munson stated that after the results of the survey questionnaire are compiled and the space plan guide reviewed, a report should be compiled. The Committee felt that it was important for the Town Manager and Town Council to have a first look at the results of both items. Regarding space needs, Asst. Dir. Nelson explained how the area in the Children’s Library was designed in mind for children only for Story Peck Library First Floor Expansion Committee Minutes –3/14/07 – page 2 Times and programs, but now many parents attend and she has had a difficult time accommodating and balancing the number of people – and this is a good thing! But they are quickly outgrowing the space and a larger area is imperative. Next Meeting – It was agreed that the First Floor Expansion Committee would not meet th again until September 12 before the regular Library Board Meeting, when results of the survey questionnaire would be available. .
